You’ve spent months (maybe years) pushing through licensing hurdles, unpredictable timelines, market shifts, and everything else this young industry throws at you. Now the state is moving into the final phase of Metrc onboarding, and a lot of operators are looking at the calendar wondering how they’re going to get everything done in time. 

If that’s you, take a breath. You’re not behind. You’re not the only one feeling this way. And you still have plenty of room to get this done without the year-end scramble, if you start now. 

 

Why This Moment Matters for New York Operators 

 

New York has confirmed that Metrc will be the state’s official seed-to-sale system. Every licensee has to be fully onboarded and operating inside Metrc by December 17, 2025. After that date, external transfers shut off for good. Nothing moves unless both sides are working in Metrc. 

It’s a big shift. And honestly, it’s a necessary one. A stable market needs consistent inventory tracking, clean data, and smooth handoffs between license holders. This transition helps the state get there. But for folks running day-to-day operations, it can feel like yet another large project added to an already full plate. 

Here’s the upside: Metrc onboarding is very manageable when you chip away at it early. The operators who give themselves time usually end up surprised by how straightforward most of the process feels. 

 

When You Can Get Into Metrc 

 

A lot of people have been asking the same question: “When can we actually log in?”Here are the state’s official dates: 

  • October 31, 2025: Testing facilities begin credentialing 
  • November 7, 2025: All other license types begin credentialing 

As soon as your credentialing window opens, you can complete your required training, receive your login, and start setting up your facility inside the system. The sooner you do that, the easier the rest becomes. 

If you wait until December, you’re setting yourself up for long nights, messy reconciliations, and avoidable mistakes. 

 

What You Need Done by December 17, 2025

 

Every license type has a few non-negotiables to complete before the deadline. Here’s what applies to everyone: 

  1. Finish the New Business Fundamentals Training

Your designated admin has to take this training in Metrc Learn. Once they pass, Metrc sends login credentials. Make sure they log in within 72 hours so the account stays valid. 

  1. Set up your business profile

This includes: 

  • Adding employees and assigning permissions 
  • Entering all required locations 
  • Adding drivers and vehicles (if applicable) 
  • Entering strains, items, and processing job types 
  • Setting up your API key if you plan to integrate your POS or ERP 

This part takes more time than people expect, so start early and give yourself room to make adjustments. 

  1. Tag and enter all beginning inventory

Every unit needs a Metrc UID. 

Every package must be logged. 

Every test result must be tied to the correct product. 

If you have older product that was tested before Metrc, you may need to coordinate virtual samples with your lab so everything shows up correctly in the system. This is normal. Just plan for it. 

  1. Complete all remaining external transfers before December 17

After the deadline, the external transfer workflow disappears. Everything must flow through Metrc. If one partner isn’t ready, neither of you can move product.

Metrc is offering several ways to get up to speed before onboarding goes live. 

In-person roadshows (November 3–7) 

Sessions are happening in: 

  • Buffalo 
  • Albany 
  • Long Island 
  • New York City 

If you can attend, do it. You’ll get clear answers to question you didn’t know you had. If not, recordings will be available after the events. 

Metrc Learn 

This is Metrc’s on-demand training platform. It includes: 

  • More than 300 courses 
  • License-type-specific learning paths 
  • Role-based training 
  • Interactive practice modules 

It’s genuinely helpful, and your team can learn at their own pace. 

Metrc Support 

Support is available by phone, online portal, and inside the system through Metrc Expert. The New York partner page also houses state-specific bulletins and guides. You won’t be left guessing. 

 

If You Haven’t Started Yet, Here’s Your Path Forward 

 

Let’s keep this simple. If you’re not ready yet, here’s how to get moving without burning yourself out. 

Choose your admin 

Pick someone patient, organized, and trustworthy. This person will control the system. 

Register for training right when credentialing opens 

You cannot access Metrc without completing the training. As soon as you’re allowed to start, jump in. 

Lay your administrative foundation 

Start adding: 

  • Staff 
  • Locations 
  • Strains and items 
  • Drivers/vehicles (if needed) 
  • Processing job types 

Order your UIDs early. They go quickly during onboarding periods. 

Work through your inventory in small pieces 

Don’t wait until you have to tag everything at once. Start building packages, affixing UIDs, and entering data now so your team has time to learn the rhythm.

 

Understand what applies to your license type

 

A few key notes from the state’s FAQ: 

  • Processors: Beginning November 7, you can’t send finished goods to distributors without Retail Item UIDs and valid testing. 
  • Distributors: All external transfers must be done before December 17. After February 28, 2026, no unit can move to a dispensary without a Retail Item UID. 
  • Dispensaries: After December 17, all inventory must be in Metrc. After March 31, 2026, dispensaries can only receive inventory with a “TestPassed” or “RetestPassed” status. 

These dates will sneak up fast. Build your plan around them. 

 

Details Operators Often Miss

 

A few finer points worth knowing now rather than later: 

Walking transfers 

They’re allowed. You’ll just list “Walking Transfer” in the vehicle fields and document the route appropriately. 

Industry Sandbox 

Your team can practice in the Sandbox environment before touching live data. It’s a great way to train without risk. 

Branding 3 license types 

They don’t get their own Metrc accounts. They must be added as employees under a Processor. 

Metrc doesn’t calculate excise tax 

You’ll keep handling that through your normal accounting process.
